For our location in Malta we are looking for a motivated Office Administrator for 40 hours/week to start immediately or as soon as possible.

Job description details

Your job

  • You answer the office telephone and are the first point of contact, including welcoming visitors and providing hospitality.
  • You are responsible for deliveries, mail, and act as a contact person for employees and external contacts. In short – you are the “good soul” of the company.
  • You manage room bookings, ensure meeting rooms/communal areas are clean and tidy and available for visitors.
  • You order and maintain stationery, equipment, and office supplies.
  • You are the central interface for facility management and workmen.
  • You support travel management by processing travel expense reports.
  • You assist the finance department with basic book-keeping.
  • You manage varied special projects (e.g. office design, planning and organization of company events, optimization of the purchasing process, etc.).

Your profile

  • You have completed an apprenticeship or have a comparable qualification.
  • You have some experience in office management, secretarial work, at the reception or in an assistant position.
  • You are an organizational talent, know how to set priorities and stay calm despite high workloads.
  • You always keep track of things and have a careful and structured way of working.
  • You are characterized by flexibility and commitment and enjoy representing the company as a central contact person.
  • You have very good MS Office skills.
  • You have excellent English skills – both written and verbal.
